Terms & Conditions

These Terms & Conditions explain how Chloë Hall Speech and Language Therapy operates. Please read them before commencing assessment or therapy.

By agreeing to receive services from Chloë Hall Speech and Language Therapy, you agree to these Terms & Conditions.

Assessment

An initial assessment will usually involve a 60–90 minute face-to-face appointment, although the length and nature of assessment will depend on your child’s individual needs.

The face-to-face appointment is only one part of the assessment process. Following the appointment, additional professional time is required to score and analyse findings, consider the information gathered, develop an understanding of your child’s communication profile and prepare appropriate recommendations.

Most initial assessments cost £250–£300, plus travel where applicable. Straightforward assessments may cost less, while more extensive assessments may cost more.

If it becomes apparent that further assessment is required, this will be discussed with you before additional costs are incurred.

Therapy

Where therapy is recommended, the type and frequency of intervention will depend on your child’s individual needs.

A typical therapy session costs £87.50 and includes approximately:

  • 30 minutes of direct therapy with your child
  • 15 minutes of feedback and liaison with parents, carers or education staff
  • 30 minutes of associated professional time for reviewing the session, record keeping, preparation and planning

Occasionally, a different session format may be more appropriate. Where this is the case, this will be discussed with you.

Therapy targets and approaches will be reviewed as your child progresses and may be adapted where appropriate.

Working with schools and other settings

With appropriate consent, I may liaise with nursery, school or other professionals involved in supporting your child.

Where therapy takes place within an education setting, relevant staff may be involved in feedback, discussion of strategies and the collaborative development of therapy targets or programmes.

The nature and extent of liaison will depend on your child’s individual needs and the service agreed.

Additional professional work

Routine communication directly related to your child’s therapy is included within the usual therapy fee.

Occasionally, additional professional work may be requested or recommended. This might include:

  • more extensive liaison with school or other professionals
  • attendance at meetings
  • preparation of additional written information or reports
  • detailed review of documentation
  • additional observation or consultation
  • other professional work requested outside the usual assessment or therapy arrangements

Additional professional work is charged at my professional hourly rate, currently £70 per hour, calculated according to the time required.

Where additional chargeable work is proposed, this will be discussed and agreed with you before it is undertaken.

Travel

I am based between Carlisle and Penrith and travel to homes, schools and other settings for appointments.

The first 10 miles of travel in each direction are free of charge. Mileage beyond this is charged at 60p per mile.

There is no charge for the first 15 minutes of travel in each direction. For journeys taking longer than 15 minutes, the travel time beyond the first 15 minutes is charged at £35 per hour, equivalent to half my usual professional hourly rate.

Travel time is calculated using the usual journey time shown by Google Maps rather than the actual journey time on the day. This means unexpected traffic or delays will not increase your charge.

Where travel charges apply, I can provide an indication of these before an appointment is arranged.

Fees and payment

My standard professional hourly rate is currently £70 per hour.

Fees for standard assessment and therapy arrangements are described above. Where a different arrangement is required, the likely cost will be discussed before work is undertaken.

Payment is required within 14 days of the invoice date.

Payment should be made using the payment methods shown on the invoice.

If an invoice remains unpaid, I reserve the right to pause further appointments or professional work until payment has been received.

Fees may be reviewed periodically. Existing clients will be given notice of changes to fees.

Your right to cancel when first arranging services

If you arrange an assessment or therapy with me by phone or email, you will usually have 14 days to change your mind and cancel the arrangement.

You do not need to wait 14 days before I can start working with your child. If you would like me to begin during this period, I will ask you to confirm that you are happy for me to do so.

If you then decide to cancel within the 14 days, you will only need to pay for any work I have already completed at your request.

If the agreed service has already been completed during this period, your right to cancel may no longer apply.

I will provide information about your cancellation rights when we arrange services.

Cancellations

Wherever possible, please give a minimum of 24 hours’ notice if you need to cancel an appointment.

Appointments cancelled with less than 24 hours’ notice may be charged at the full session fee.

I recognise that illness and unexpected circumstances arise, and discretion may be applied where appropriate.

Where I need to cancel an appointment, no charge will be made and I will endeavour to rearrange the appointment where possible.

If I attend an agreed appointment but the session cannot take place because the child is unavailable or access cannot be provided, a charge may apply to reflect the appointment time and any travel already undertaken.

I recognise that unexpected circumstances arise and discretion will be applied where appropriate.

Consent

A parent or person with appropriate parental responsibility will be asked to provide consent before assessment or therapy begins.

Where appropriate, I will also involve the child or young person in decisions about their Speech and Language Therapy and seek their agreement in a way appropriate to their age and understanding.

Consent may also be requested for particular activities, including information sharing, liaison with other professionals and photographs, audio or video recordings.

You may withdraw consent for optional activities at any time.

Confidentiality and information sharing

Information about your child and family will be treated confidentially and handled in accordance with applicable data-protection legislation and my professional responsibilities.

With appropriate consent, relevant information may be shared with professionals involved in supporting your child.

There are limited circumstances in which I may need to share information without consent, including where required by law or where there is a safeguarding concern.

Clinical records

I maintain appropriate clinical records relating to assessment, therapy, communication and recommendations.

WriteUpp is my primary electronic clinical record system. Some larger clinical documents may be securely stored separately where necessary.

Clinical records are retained and securely disposed of in accordance with the retention periods described in my Privacy Policy and applicable professional, legal and insurance requirements.

Photographs, audio and video recordings

Photographs, audio or video recordings may occasionally be clinically useful, for example when analysing speech or communication.

Recordings will only be made with appropriate consent and will be securely handled. Recordings made for analysis will normally be deleted once that analysis has been completed.

A recording may occasionally be shared with a parent or carer where this would be useful for demonstrating progress or supporting practice at home.

Electronic communication

Communication may take place by email, telephone, SMS or WhatsApp Business.

Electronic communication can never be completely risk-free. I take reasonable steps to protect confidentiality, minimise the amount of identifiable clinical information shared and use secure methods where appropriate.

Ending or pausing therapy

Speech and Language Therapy does not necessarily continue indefinitely.

Therapy may be reviewed, paused or ended where:

  • agreed goals have been achieved
  • a period of practice or consolidation is appropriate
  • progress indicates that a different approach is needed
  • further assessment or another service may be more appropriate
  • therapy is no longer considered clinically beneficial
  • the family wishes to discontinue therapy
  • circumstances make it impractical for the service to continue

Where possible, decisions about ending or changing therapy will be discussed collaboratively with the child, family and relevant professionals.

Complaints and concerns

I aim to provide a professional, respectful and high-quality service.

If you have a concern about any aspect of the service you receive, I encourage you to raise it with me so that I have an opportunity to understand and respond to your concerns.

Changes to these Terms & Conditions

These Terms & Conditions may occasionally be updated to reflect changes in my practice, fees, professional guidance or legal requirements.

Where a change materially affects an existing client’s service or fees, appropriate notice will be provided.
